Privacy Policy

What we collect when we file a PAN application for you, why we hold it, who it goes to, and how to ask us to change or remove it.

1. Who we are

Billwing Esolutions (OPC) Pvt. Ltd. is a private company registered under the Companies Act, 2013, with its address at House No. 1262, L Block, Mangolpuri, North West Delhi 110083. We are an authorized PAN application center operated by UTI Infrastructure Technology and Services Limited (UTIITSL), a Government of India company.

We are not a Government of India website and this site has no government affiliation. We prepare and file PAN Applications on your behalf as an authorized agent.

When we say “we” or “us”, we refer to Billwing Esolutions (OPC) Pvt. Ltd., and when we say “you” we refer to everyone that uses our site or requests PAN services from us.

2. What this policy covers

This policy was created for https://www.billwingesolutions.com, along with the personal information we have when you get us to apply for, correct, reprint or replace a PAN.

This policy does not apply to the UTIITSL, Protean (NSDL) or Income Tax Department websites, or any other websites that we link to. These are other organizations who run their websites under their separate privacy policies.

3. What we collect

There are two types of data we collect; it is helpful to make a distinction.

Regarding what we collect for the application, we need you to complete the PAN Form which requires your full name, father's name, date of birth, gender, address, mobile and email, Aadhaar Number, PAN Number if applicable and clear scanned copies of the requested documents. These are emailed to us, or sent over WhatsApp or phone. We request only what is needed for application.

The data this website collects is minimal. There is neither a sign up page nor an enquiry form or a payment form. We run no advertisement cookies, no analytics or tracking pixels on our website.

We have our tracking page where you can key in your Order ID. This is the only data that is sent to our server for look up. It is not stored and not associated with you.
Our server logs, used for security and finding bugs in the system, keeps the usual data such as your IP, browser data, and the page requested.
Any text size changes using the control does not leave your browser; the preference is kept there.

4. Why we hold it

Your information is used for the work you asked us to do, and for nothing else.

To prepare, check and file your PAN application with the processing agency.
To answer objections or questions the agency raises on your application, which often means resubmitting a proof.
To contact you about your own file, by phone, email or WhatsApp.
To raise an invoice and keep the accounting and tax records the law requires us to keep.

Your application and its supporting documents go to UTIITSL and, through them, to the Income Tax Department. That is the point of the filing and cannot be avoided.

Beyond that, we share your information with nobody. We do not sell it, rent it, or hand it to anyone for marketing. Where a supplier is involved in running the business, such as our email and hosting providers, they can only handle what is needed to provide that service and are bound to keep it confidential.

We will disclose information if a court, a tax authority or another authority with the power to demand it requires us to. If that happens and we are allowed to tell you, we will.

6. How long we keep it

We keep your file for as long as the work is running, and after that for as long as company law and tax law require records to be kept. Document copies that are no longer needed for either purpose are removed.

If you want your documents removed sooner, ask us. We will delete whatever we are not required to keep and tell you plainly what has to stay and why.

7. How it is protected

Access is limited to the people working on your file. This website is served over HTTPS, so what passes between your browser and it is encrypted.

We never ask for your card number, your net-banking password, your internet-banking OTP or your Aadhaar OTP over email, chat or a phone call. Nobody honest will. If you are asked for any of those in our name, it is not us. Stop and call us on the number on this site.

No system is completely safe from every attack, and we do not claim otherwise. What we can say is that we hold only what the work needs and only for as long as it is needed.

8. What you can ask us to do

It is your information. You can ask us for a copy of what we hold about you, ask us to correct something that is wrong, or ask us to delete what we are not required by law to keep. You can also withdraw your consent for us to hold it, though we will not be able to carry on with an application after that.

Ask by email or on the phone, using the details below. We will confirm who you are first, because the information is worth protecting, and reply within seven working days.

9. Applications for children

A PAN application for someone under 18 is made by a parent or guardian, who signs as the representative assessee. We deal with that adult, and we take the child's details only through them.

This website is not aimed at children and we do not knowingly collect information from one directly.

10. Changes to this policy

If this policy changes, the new version is published on this page with a new date at the top. This version is in effect from 1 September 2026.

If you are unhappy with how we have handled your information or your request about it, say so in the same email and mark it as a grievance. It goes to the person responsible for this at the company, and you will get a reply within seven working days.
